These terms and conditions govern your enrollment in and participation in courses offered by Image Fitness Training. By enrolling in any of our courses, you agree to be bound by these terms.
1. Enrollment & Payment
- A non-refundable deposit is required to secure your place on any course.
- Full payment or agreed payment plan must be completed before course completion.
- Payment plans are available with options depending on the course selected.
- Prices are locked in at the time of enrollment.
2. Certificate Release
- Your certificate will be released once 50% of your total course fees have been paid.
- Upon passing your exams, a letter of completion can be provided on request, but the physical certificate will only be issued once the payment threshold is met.
3. Payment Liability
- You are liable for the full course fees once enrolled. Failure to maintain agreed payment schedules or dropping out of the course does not absolve you of this liability.
- Payments are automatically charged to the card used for your deposit on the 30th of each month at approximately 11am.
- If you need to amend your payment date or plan, contact education@imageft.ie before the payment is due.
4. Non-Payment & Legal Proceedings
- If payments are not maintained and you do not engage with Image Fitness Training to resolve outstanding fees, legal proceedings will be initiated to recover the full amount owed.
- All costs associated with debt recovery, including legal fees, will be added to the outstanding balance.
- Image Fitness Training reserves the right to suspend access to course materials and community platforms for students with overdue payments.
5. Course Transfers & Deferrals
- Course transfers may be requested up to 14 days before the course start date.
- Deferrals are granted at the discretion of Image Fitness Training management.
- A maximum of one deferral per enrollment is permitted.
- Deferred places must be taken within 12 months of the original start date.
6. Cancellation & Refunds
- Course deposits are non-refundable under any circumstances.
- Cancellations more than 30 days before course start: 75% refund of fees paid (excluding deposit).
- Cancellations 15-30 days before course start: 50% refund of fees paid (excluding deposit).
- Cancellations less than 14 days before course start: No refund.
7. Attendance Requirements
- Minimum 80% attendance is required for practical sessions.
- Missed sessions may need to be made up in the next available intake.
- Failure to meet attendance requirements may result in delayed certification.
8. Assessment & Certification
- All assessments must be passed to receive certification.
- One free re-sit is included for failed assessments. Additional re-sits may incur extra fees.
- REPs Ireland registration is the student's responsibility after certification.
9. Code of Conduct
- Students must conduct themselves professionally at all times.
- Any form of harassment or discrimination will result in immediate removal without refund.
- Course materials are for personal use only and may not be shared or sold.
10. Liability
- Students participate in practical training at their own risk.
- Image Fitness Training is not liable for injuries during training.
- Students must declare any medical conditions before enrollment.

Who we are
- Image Education Limited, trading as Image Fitness Training and Image Pilates, is responsible for your personal data when you use imageft.ie, imagepilates.ie or our course landing pages, enquire about a course, or train with us in Ireland. For our UK courses (Derry and Braintree), Image Education UK Ltd is responsible.

What we collect
- When you enquire: your name, email address, mobile number, the course, location and start date you are interested in, whether you receive a social welfare payment (if you tell us, so we can check Intreo funding with you), and anything you write to us.
- When you enrol: your address, date of birth, gender, emergency contact, any medical conditions you declare, your payment plan, attendance and assessment results. Card details are handled by our payment providers; we do not store your full card number.
- When you use our websites: the pages you visit, your device and browser, the advert or link that brought you to us (for example a Google or Meta click ID), and cookies, as described below.
Why we use it
- To reply to your enquiry, call you back or arrange the call you book, at your request before you enrol.
- To run your course: enrolment, payments and receipts, timetables, assessments and certification. This is needed for our contract with you, and some records are kept to meet our legal and tax obligations.
- Medical information is used only to keep you safe during practical training, and only with your explicit consent, which you give when you provide it.
- To send you course news and offers by email, SMS or WhatsApp where you have agreed, or where you have enquired about a similar course. You can opt out at any time using the link in any email or by telling us.
- To understand which adverts and pages lead to enquiries and enrolments, so we spend less on adverts that do not work. This is in our legitimate interests; you can object at any time.
Who we share it with
- We use trusted providers who act on our instructions: Ontraport (customer records and email), Stripe and Revolut (payments), Resend and Google Workspace (email), OnceHub (call booking), Google Calendar and Slack (so our team can follow up quickly), WhatsApp (messages you send us), YouTube and Vimeo (course videos), and Vercel (website hosting).
- Google (Tag Manager, Analytics and Ads) and Meta (Facebook and Instagram) help us measure our adverts. When you send us a form, we may share a scrambled (hashed) copy of your email address and phone number with them so they can tell us which adverts led to enquiries. They cannot read the original details from it.
- We never sell your personal data. We may share it where the law requires, for example with Revenue, or with awarding and registration bodies when you are assessed and certified.
Transfers outside Europe
- Some of these providers store data in the United States. Where they do, the transfer is protected by the EU-US Data Privacy Framework or by Standard Contractual Clauses approved by the European Commission.
How long we keep it
- Enquiry details are kept for up to 24 months after we were last in touch, unless you enrol.
- Student records, payments and certification details are kept for as long as needed to issue and verify your qualification and for up to 6 years after your course ends, to meet tax and accounting rules.
Cookies
- We use cookies and similar tools to keep the site working, to see how it is used, and to measure our adverts. On our course landing pages we ask before using analytics and advertising cookies, and you can change your choice at any time by clearing cookies for the site. You can also block cookies in your browser settings.
Your rights
- You can ask for a copy of your data, ask us to correct or delete it, restrict or object to how we use it, take it to another provider, and withdraw any consent you have given. Email sales@imageft.ie and we will reply within one month.
- If you are unhappy with how we handle your data, you can complain to the Data Protection Commission in Ireland (dataprotection.ie) or, for our UK courses, the Information Commissioner’s Office (ico.org.uk).
